At one of our clients, large quantities of data are daily collected, mainly regarding the execution of maintenance or service activities by technicians or service staff on site. Previously, this data was often processed manually: staff or technicians filled in forms or recorded information in various systems, after which the data was manually entered into the central management system.
This process was experienced as time-consuming, error-prone, and administratively exhausting. For this reason, we developed an automation solution for the organization that allows staff to directly enter their work and maintenance data through a digital tool. The digital assistant automatically checks incoming data from the mobile application, extracts the entered information, creates a new record in the central system, fills in the relevant data, and adds any photos, comments, and attachments.
The status of the work is automatically updated, and the data is forwarded to the responsible department for further follow-up. Additionally, a file is created in which location, type of work, and involved parties are documented. After processing, the input is automatically archived in the correct digital folder. Through the implementation of this automation solution, job satisfaction among employees at our client has significantly increased, repetitive administrative tasks have been reduced, the chances of errors have decreased significantly, and employees can focus on other important tasks within the operational process.
